Japan Wedding Travel is operated by Discovery Hidden Japan (“we”, “us” or “our”). This policy explains how we handle personal information when you visit this website or contact us about a wedding, venue, event or private wedding film.

Information we collect

Depending on the form you use, we may collect your name, email address, country, city, preferred date or wedding timing, estimated guest count, planning stage, preferred destination or style, ceremony and reception preferences, guest travel preferences, budget range, selected venue, event topics, message, consent record, the page used to contact us, submission reference and technical anti-spam verification data.

Please do not send passports, identity documents, financial account details, health records or other sensitive documents through a website form. If such information later becomes necessary, we will explain an appropriate method separately.

Why we use it

• To respond to enquiries and provide requested planning or venue information.
• To prepare and follow up on a personalised quote.
• To manage event updates you have requested.
• To review a private-film request and, where approved, send viewing instructions manually.
• To protect the website against spam, abuse and security incidents.
• To keep an operational record of communications and improve our service.

We process this information to take steps at your request, to provide the service you ask for, on the basis of your consent where the form requests it, and for our legitimate interests in operating and protecting the service. You may withdraw consent for future communications at any time.

Service providers and international processing

We use service providers only as needed to operate the website: Netlify for website hosting and server-side form processing, Cloudflare for video delivery and Turnstile anti-spam checks, and Google services for enquiry records and, where configured, email delivery. An email provider may also be used for notifications and replies. These providers may process data in countries outside your country of residence under their applicable safeguards and terms.

We may share the minimum necessary details with a venue or other wedding-service partner only when required to answer your request or progress planning. We do not sell personal information.

Storage, security and retention

Enquiry records are access-controlled and are intended to be available only to authorised people involved in customer support, planning, administration or security. We use reasonable technical and organisational measures, but no internet transmission or storage method can be guaranteed completely secure.

We ordinarily keep an enquiry for up to 24 months after the last meaningful contact, then delete or anonymise it unless a longer period is reasonably needed for an active service, legal obligation, dispute, fraud prevention or accounting record. A shorter retention period may apply after a valid deletion request.

Browser data, fonts and anti-spam

This site may store limited preferences in your browser, such as whether an on-screen guide has been shown. It currently does not use advertising cookies. Fonts may be requested from Google Fonts, which can receive technical connection information such as your IP address and browser details. Form submissions use Cloudflare Turnstile; Cloudflare processes technical signals to decide whether a request is likely to be legitimate.

Your choices and rights

Subject to applicable law, you may ask whether we hold personal information about you and request access, correction, deletion, restriction or withdrawal of consent. You may also object to certain uses. We may need to verify your identity before acting on a request.
